Refund & Cancellation Policy
Last updated: 2026
This Refund & Cancellation Policy explains the conditions under which payments made to SMILETECH Group may be refunded and how project cancellations are handled. This policy applies to all solar and renewable energy products and services provided by SMILETECH Group.
1. Project Confirmation
A project is considered confirmed once a quotation or contract has been accepted in writing and an initial payment or deposit has been received.
2. Deposits and Advance Payments
Deposits and advance payments are generally non-refundable, as they cover site assessments, system design, procurement, administrative costs, and reservation of equipment.
3. Client-Initiated Cancellations
If a client cancels a project:
- Before procurement begins: A partial refund may be considered, excluding administrative, assessment, and design costs.
- After procurement begins: No refund will be issued for deposits, equipment costs, or committed expenses.
- After installation has started: No refunds will be granted. The client remains responsible for all costs incurred.
4. SMILETECH Group-Initiated Cancellations
If SMILETECH Group is unable to proceed with a project due to internal reasons, any payments received for undelivered services or unused equipment will be refunded, excluding costs already incurred.
5. Delays and Rescheduling
Project timelines may be adjusted due to factors such as weather conditions, site readiness, supply chain delays, or regulatory approvals. Such delays do not constitute grounds for cancellation or refund.
6. Refund Method and Timeline
Approved refunds will be processed using the original payment method where possible and within a reasonable timeframe, subject to internal verification and financial controls.
7. Equipment Returns
Installed or customized equipment cannot be returned once deployed or configured for a specific project.
8. Service-Based Payments
Fees for completed services such as site assessments, consultations, design work, installation labor, and testing are non-refundable.
9. Force Majeure
Neither party shall be held liable for cancellation or non-performance caused by events beyond reasonable control, including natural disasters, government actions, or supply chain disruptions. Refunds in such cases will be assessed on a case-by-case basis.
10. Dispute Resolution
Any disputes related to refunds or cancellations shall first be addressed through good-faith negotiations. Where unresolved, disputes shall be handled in accordance with applicable laws in Cameroon.
